BOOKING TERMS AND CONDITIONS

Reservations: 

A valid credit or debit card is required to guarantee the reservation. One guest must be over the age of 18 with the exception of Leeds Headingley where one guest must be over the age of 25. We accept Visa & Mastercards to guarantee your reservation. All bookings will require a pre-authorisation of a valid credit or debit card upon check in. We accept Visa Credit or Debit & MasterCard only for pre-authorisations, no cash or cheque is accepted at the hotels. 

If you cannot meet the requirements of check in and are denied entry to the hotel, full charges totalling the first night’s room rate will still be applied to the card used to secure the reservation.

Check in: Standard check in time is from 3pm. Early check in from 1pm is available at £10, subject to availability. Please contact the hotel reception directly to arrange this.

Check Out: Standard check out time by 11am. Late check out up to 1pm is available at £10, subject to availability. Please contact the hotel reception directly to arrange this.

Special Requirements: Specially adapted rooms are available including wheelchair adapted bathrooms at some locations, with lifts in all public areas. Cots are also available, subject to availability. Please check with the hotel prior to arrival.

Special Requests: All special requests will be noted on the booking. We will try our best to fulfil all requests however, these cannot be guaranteed.

Security: For security reasons only guests with a reservation are allowed access to the apartments after 10 pm. Please note that all your personal belongings are your responsibility. A safety deposit box is available at the hotel for small items. Many apartments have lock box safes in the room, check individual hotel for confirmation. We operate CCTV recording in public areas and corridors for your safety and security.

Bookings at Leeds Headingley: Leeds Headingly is an unmanned location therefore, guests are required to check in at Roomzzz Leeds City West on 2 Burley Road, LS3 1JR and will be given the car park codes and keys to access the accommodation, which is approximately a 5 minute onward drive. The room type booked will specify you are booked into this location by stating the room type followed by at Headingley. The minimum age for the lead guest at this property is 25. Bookings at Leeds Headingley incur a damage deposit of up to £150 per room, payable by debit or credit card, fully returnable following your stay if the room is returned in an undamaged condition. 

Bookings at London Stratford: Bookings at London Stratford require a damage deposit of up to £100, payable by credit or debit card, fully returnable following your stay if your room is returned in an undamaged condition. 

Grande Plus Rooms: Grande Plus Studios are suitable for a maximum of 3 occupants. There is an additional charge of £10 per night for use of a roll away bed for all ages of the additional occupant

Reselling of your booking: Roomzzz operates a strict no re-sell policy, if we identify bookings where a room is being resold through unauthorised channels, we reserve the right to cancel the reservation. No refunds will be given and cancellation charges will apply in the event of lost revenue. 

Bookings via Alternative Travel Websites: If guests book through any website other than www.roomzzz.com, please refer to your confirmation from them with regards any specific terms and conditions of your reservation.

Best Price Guarantee: Roomzzz.com will always be the best place to find the most competitive bedroom rates, special offers and flexible terms for our stylish studios and apartments. In the unlikely event you find a lower rate for the same apartment, on the same arrival date, with the same booking terms and length of stay, within 12 hours of our quote or making your reservation, we will refund you the difference and match the rate. We will price match if you haven’t yet booked. To demonstrate the price you have seen, we will need a screen-shot with the date / time visible. A valid rate submission must be found on a publicly available channel or source without pre-qualification or membership necessary for entitlement to the rate. Occasional promotional offers made through closed user groups are unlikely to be better than Roomzzz.com and will not qualify against our best rate guarantee. Published Rates: All rates quoted are per apartment per night, subject to availability and inclusive of VAT at the current rate.

Payments: 

Cash Payments: All Roomzzz Aparthotels are cashless, we accept payments via Visa Debit, Visa Credit, MasterCard, Apple Pay, Google Pay and contactless cards

Contactless cards, Apple and Google Pay are accepted at the hotel for incidentals. Please note that there is a limit of £30 for contactless, Apple and Google Pay

Cancellation Policies:

Roomzzz Advance Saver Rate / Roomzzz Early Bird Saver Rate: All rates are to be pre-paid at the time of booking and deem the reservation non-amendable and non-refundable. Payment is non-transferrable. 

Roomzzz Flexible Rate: A valid credit or debit card is required at the time of booking to secure your reservation, a valid credit or debit card will also be required on check in for a pre-authorisation. Payment is due on arrival at the hotel. Free cancellation is available until midday 24hours prior to arrival. Cancellation after this point will incur a cancellation fee to the value of the first nights’ accommodation. 

Promotional Discounted Offers:  All promotional offers are non-cancellable, non-amendable and non-refundable. We reserve the right to amend or withdraw any offers as appropriate without prior notice. Bookings made would be honoured in full after any such change or withdrawal

Long Stay Rate: All long stay packages are based on a minimum of 28 consecutive nights. Payment is due 7 days prior to arrival which deems the booking non-refundable, non-amendable and non-transferable. 

Roomzzz Key Account, Local Accounts and Corporate Rates: A valid credit or debit card is required at the time of booking to secure your reservation, a valid credit or debit card will also be required on check in for a pre-authorisation. Payment is due on arrival at the hotel. Free cancellation is available until midday 24hours prior to arrival. Cancellation after this point will incur a cancellation fee. 

Roomzzz Royalty: A valid credit or debit card is required at the time of booking to secure your reservation. A valid credit or debit card will also be required on check in for a pre-authorisation. Payment is due on arrival at the hotel. Free cancellation is available until midday 24hours prior to arrival. Cancellation after this point will incur a cancellation fee cancellation fee to the value of the first night’s accommodation. We reserve the right to change, replace or withdraw Roomzzz Royalty discount at any time and we will advise in advance through the website of a replacement loyalty program when available. All current bookings will be honoured.

No Shows: In case of a no show, the first night’s accommodation will be charged as per the rate at the time of booking to the card that was used to guarantee the reservation (Not applicable to Roomzzz Saver, Early Bird Rates, Promotional Rates and Long Stay Rates where full charges will apply)

Early Departures: Cancellation fees will be applied in line with the cancellation policies of your rate plan. Typically this could be the next night’s rate on a flex booking or the remainder of the package for advance bookings and special offers

Roomzzz reserves the right to cancel your reservation at any time with immediate effect if – payments for reservations have not been made within the agreed time frames. Or you break the contract in anyway. 

We also may cancel your reservation in the event of severe weather conditions, acts of terrorism, fire, flooding, power failure, emergency evacuation, other circumstances beyond our control. In the event of such a cancellation, we will endeavour to contact you in advance and advise alternative options

Out-booking: In the unlikely event that we are not able to accommodate your booking on the night of arrival, we will find alternative suitable accommodation and ensure that you are charged no more than the original booked rate. Any difference will be covered by Roomzzz for your inconvenience

Optional extras:  These will automatically be charged at the time of booking if you opt to book on a non-refundable rate. This also becomes non-refundable. If you book an optional extra on a flexible rate, payment is due 7 days before arrival and you will be contacted by our reservations team to arrange the payment. Cancellations of optional extras can be cancelled more than 7 days prior to arrival, room terms and conditions are separate and can be found on your confirmation or full terms and conditions online at www.roomzzz.com

 

York Flood Evacuation Risk

Due to the riverside location of Roomzzz York City, in extreme weather circumstances there is a possibility that we may need to evacuate the property when no access to/from the hotel may occur.  Roomzzz York City will be given flood advice by the Environment Agency and will evacuate in line with their guidelines. In the event of a property evacuation, guests may be relocated to neighboring properties in or around York, offered date changes or financial reimbursements. Hotel Information and Terms 

Luggage Store: We can store luggage prior to arrival and after departure. It is your responsibility to leave these locked and secured. Any luggage stored is left at your own risk.

Lost Property: Any property left behind by guests will be stored as per procedure. Food and drink items are discarded.

Smoking: All public areas and apartments are Non-Smoking and a minimum fine of £100 will be automatically charged for fumigation to the card used to secure the booking.

Noise: Guests causing nuisance to other paying guests will be asked to vacate their apartments and make a compensatory payment.

Damage: In the event of malicious, wilful or negligence of room or other property damage, Roomzzz will charge the amount of any loss sustained, including business interruption losses to the credit/debit card of the registered customer. Where payment by the customer was made by means other than credit/debit card, Roomzzz will pursue the matter through civil courts. Roomzzz charges a damage deposit of £100 per room for bookings at Leeds Headingley, fully returnable after your stay once the room has been returned in an undamaged condition.

Terms and Conditions

 

QUALIFYING STAYS

Reservations must be made directly with Roomzzz via the Roomzzz.com website or through the Central Reservations Team. 

Selected/Agreed negotiated corporate rates through nominated travel agents and GDS platforms will also be included.

Qualifying nights will be accrued against Direct Flex Rates, Direct Advance Saver Rates, Direct Early Bird Rates, Direct Campaign Rates, Direct New Opening Rates, Agreed Corporate rates and all direct Perkzzz discounted member rates from launch date of Perkzzz on 5th October 2020. Other new rates in future may also qualify and will be clearly visible when booked

Reservations made via online third-party websites and any other channel will not be included

Long term rentals, professional lets, estate agent lets, students let will not qualify for Perkzzz Rewards

 

MEMBERSHIP LEVELS

The Perkzzz loyalty member scheme is designed for the individual staying and not their company. The rewards are aimed to add value for the guest welcome to Roomzzz. It’s completely free to become a member to access the exclusive rewards and member rates

Qualifying stays and total room nights determine your status level. Room nights are measured over 12-month period from joining date and subsequent anniversaries to qualify for each level.

Your total Roomzzz accommodation spend drives the member rewards earned

·       Be Our ‘Guest’ – no minimum stay required, join for free for entitlement to offers and best rate Member 5% minimum discount

·       Be Our ‘Friend’ – 25 qualifying room nights over 12-month period required

·       Part of the ‘Furniture’ – 50 qualifying room nights over 12-month period required

·       Part of the ‘Family’ – 100 qualifying room nights over 12-month period required

Membership will always be maintained at no cost to the member on minimum level of  ‘Guest’ entitling members to receive the direct booking member discounts and exclusive offers. Should qualifying room nights not be met over the preceding 12 months to maintain status, then status will reduce by one level at a time for the next 12 months.

The member’s total room spend (inc VAT) will earn points which determine the reward vouchers earned by each member

 

 

 

REWARDS

A minimum 5% discount to Perkzzz Member Best Rate Guarantee: The discount will only be available to standard Flexible Rates, Advance Purchase Rates, Early Bird Rates and some Promotional Rates. To obtain the discount, you must be logged into your online Perkzzz profile for the discount to apply on the website choosing the applicable member rate. You can also book through the Reservations team giving your member details or signing up while making a booking

Member discount applies to stated public branded rates only, booked directly through Roomzzz.com or through our reservations team. Therefore the discount will not be apply to any other rate including Negotiated Long Stay Package Rates, Corporate Negotiated Rates, Agency Negotiated Rates or any other packaged offer.

The member discount will be available when booking on Roomzzz Direct channels (Roomzzz.com website and central reservations) for new reservations only and existing bookings will be subject to terms and conditions at the time of booking. Late cancellation fees or no-show fees are not qualifying revenue streams for points on room night contribution

Members should advise us of their membership when making bookings to ensure stays are tracked on their profile and spend generates earning points, members can sign into their profile online to make bookings through Roomzzz.com. We will back-date an eligible stay within valid 12 month preceding period of Perkzzz launch. All requests need to be sent directly Central reservations.

Points will only be earned from the launch of Perkzzz on 5th October 2020, no historical spend will be eligible for points and rewards before the program is launched.

The Best Rate Guarantee applies to member rates bookable on sign-in or sign-up to Perkzzz Rewards by Roomzzz

 

Perkzzz Loyalty Rewards

Earn rewards based on your spend by staying regularly at Roomzzz Aparthotels.

·       For each £1 spent on qualifying standard room rates, you will receive 2 points.

·       For each £1 spent on qualifying long-stay rates, you will receive 1 point.

For each 2000 points earned, you will be rewarded with a £50 Roomzzz voucher to spend in Roomzzz on accommodation, parking, essentialzzz, packages, early check-in, late check-out or the pantry

Points will expire after 24 months from earning date

Your Perkzzz profile will be available securely online where spend will be tracked on the loyalty platform

 

Perkzzz Offers, Promotions and added value:

Roomzzz may offer occasional promotional incentives to new or existing members which are not shared with all members to increase awareness or activity.

Roomzzz may offer status increases to members as an incentive or reward for up to 12 months. 

Roomzzz may offer promotional incentives to encourage non-members to sign up which may not be available to existing members

Qualifying status room nights are calculated on a 12-month rolling basis from anniversary of join date

The welcome arrival amenity/gift is presented on arrival per room under the qualifying Perkzzz membership. The contents of the amenity/gift my vary. Only one amenity per stay will be offered

Vouchers can be redeemed as part or whole payment of a stay and is to be booked via our central reservations team. No change is given, no cash alternatives. Vouchers may also be used to pay for retail items through reception or Roomzzz personalised packages

Vouchers will have an expiry of not less than 24 months from issue.

Vouchers earned will be visible on the member portal and may be used directly in the hotels and booked over the phone through the central reservations team.

Perkzzz Family status members will receive a birthday gift from Roomzzz for the personal member’s birthday while the member status is held on the top family level. The gift is at the choice and discretion of Roomzzz. No alternatives will be offered.

Upgrades by one or two room types are subject to availability and will be allocated on arrival day only where possible. Upgrades will always be offered to Perkzzz members as priority over all other guests

 

72-Hour Guarantee

The 72-hour room guarantee will enable guest to book one room at the prevailing market rate for that night based on the ‘Grande’ room type. The booking will not be refundable once made. The market rate will be determined by the last room rate published for a ‘Grande’ on that arrival date.

The member understands that Roomzzz may have to relocate a non-member guest in order to fulfil this promise. Roomzzz will only offer a limited number of rooms per day per hotel to the 72 hour guarantee.

 

Long Stay Reservations

Qualifying Long stay packages over 28 nights – will qualify by room nights for a welcome amenity gift on arrival only

Qualifying long stay packages will earn 1 point per £1, rather than standard 2 points per £1 for standard rates

£50 Reward voucher is therefore earned for each £2000 long-stay spend and booked direct or through approved travel partners

Birthday gift earned to top level ‘family’ members if booked direct and qualifying 100 room nights stayed.

The Perkzzz upgrade and the Perkzzz 72-hour room guarantee will not apply or be included when booked on any Long Stay Package.

 

OTHER TERMS

No cash alternative is available for reward vouchers, upgrades, gifts, incentives or availability guarantees

Roomzzz Aparthotels reserves the right to withdraw, amend or replace program with 90 days’ notice to members

All guests are asked to respect house rules, other guests and team members. Fraudulent and unacceptable behaviour constitutes a reason for removal from the Perkzzz loyalty program and potential blacklist from future bookings with Roomzzz Aparthotels 

 

Existing Roomzzz Royalty Members

Any existing Roomzzz Royalty Member will automatically be transferred to Perkzzz loyalty Programme. The Roomzzz Royalty discount off Flexible rates will no longer be active from once transferred. This will be replaced by a discount on Flexible Rates, Advance Rates and Promotion Rates under the Perkzzz Best Rate Guarantee.
